Privacy Policy — RoboHead Chrome Extensions

This Privacy Policy applies to the following Chrome extensions published by Aquent LLC:

  • RoboHead for Gmail
  • RoboHead File Uploader
  • RoboHead Page Saver

1. Overview

These extensions are tools that connect your Chrome browser to your own RoboHead account. They do not collect, store, or transmit any personal data to Aquent or any third party. All data processed by the extensions is transmitted exclusively between your browser and your own RoboHead server, under your direct control.


2. Data We Do Not Collect

The extensions do not collect, store, transmit, or share any of the following:

  • Personal identifiable information (name, email address, phone number)
  • Browsing history or web activity
  • Email content beyond what you explicitly choose to save to your RoboHead account
  • Health, financial, or payment information
  • Precise or approximate location data
  • Any data from websites you visit (beyond detecting the presence of file upload fields to display the upload button, in the case of the File Uploader extension)

3. Data Stored Locally

The extensions store the following data in your browser's chrome.storage.sync storage, which is synced across your Chrome devices via your Google account:

This data is stored locally in your browser and is never transmitted to Aquent or any third party. It is transmitted only to the RoboHead server URL you have configured, using your API key for authentication.


4. Data Transmitted to Your RoboHead Server

When you explicitly perform an action (such as saving an email as a note, creating a request, uploading a file, or saving a web page), the extensions transmit the relevant content to your own RoboHead server — the server at the account URL you configured in the extension settings. This transmission is:

  • Initiated only by you — no data is sent automatically or in the background without your action
  • Sent only to your server — never to Aquent, Google, or any other third party
  • Authenticated via API key — no passwords are stored or transmitted
  • Cookie-isolated — all API calls use credentials: 'omit' to prevent the extension from sending or receiving browser session cookies, protecting your active RoboHead browser session

The RoboHead server's handling of your data is governed by your organization's agreement with Aquent and the Aquent Privacy Policy.


5. Permissions Explanation

RoboHead Page Saver

RoboHead for Gmail

Access to *.robohead.com and *.rh-2.netMakes authenticated API calls to your RoboHead server to save notes, create requests, and browse files.

RoboHead File Uploader

downloadsTemporarily stages downloaded file blobs before injecting them into the target page's file input field.
contextMenusAdds a right-click context menu item on file input elements as an alternative way to open the RoboHead file browser.
tabsEnables communication between the background service worker and the content script running in the active tab during the file injection process.
Access to all URLs (content scripts)The extension must detect <input type="file"> elements on any website the user visits in order to display the upload button. No data from visited pages is collected or transmitted.
Access to *.robohead.com and *.rh-2.netMakes authenticated API calls to your RoboHead server to browse folders, list files, and download file content for injection.

6. Third-Party Services

These extensions do not integrate with, transmit data to, or rely on any third-party services, analytics platforms, advertising networks, or tracking systems. The only external communication is between your browser and your own RoboHead server.


7. Children's Privacy

These extensions are intended for use by business professionals and are not directed at children under the age of 13. We do not knowingly collect any information from children.


8. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected in the updated effective date above. Continued use of the extensions after any changes constitutes acceptance of the updated policy.
